Eligibility and Selection Rules for Students and Doctoral Candidates under the Project “Continuation of Support for the Implementation of Joint Activities within the European University EURECA-PRO (Call 2025)”

Silesian University of Technology implements the Project in accordance with Grant Agreement No. BPI/WUE/2025/1/00001 and in compliance with the regulations of the Polish National Agency for Academic Exchange (NAWA).

All administrative and organisational activities related to the Project are coordinated by the Project Team within the International Relations Office of Silesian University of Technology.

  1. Responsibility for the Selection Process
    • The detailed provisions governing the selection process, including evaluation criteria and application deadlines, shall be determined by the respective partner universities within the European University EURECA-PRO, in consultation with the Project Coordinator at Silesian University of Technology.
    • The Selection Committee established at the partner university shall be responsible for conducting the recruitment process in accordance with the applicable internal regulations and for ensuring proper dissemination of information to prospective applicants.
    • These rules apply to the following types of mobility:
      • students and doctoral candidates from partner universities undertaking mobility at Silesian University of Technology (incoming mobility);
      • students and doctoral candidates from Silesian University of Technology undertaking mobility at partner universities (outgoing mobility).
  2. Recruitment Procedure
    • The call for applications shall be published by the partner universities through their official communication channels.
    • Detailed information concerning the event shall be made available on the official Project website.
  3. Eligibility Criteria
    • The basic eligibility criteria for participation in mobility activities are as follows:
      • The applicant must hold active student or doctoral candidate status at the home university. Individuals on leave of absence or not yet formally admitted to the next cycle of studies are not eligible.
      • The applicant must demonstrate a good command of English (minimum recommended level B2 according to the CEFR). Knowledge of the language of the destination country may be considered an additional asset, particularly in the case of outgoing mobility from Poland.
      • The applicant must present a planned programme of activities to be carried out during the mobility period, ensuring the achievement of the intended learning or training outcomes.
    • Partner universities may establish additional selection criteria for their candidates (e.g. academic performance, involvement in student or scientific activities, contribution to internationalisation initiatives), provided that the Project Coordinator at Silesian University of Technology is duly informed thereof.
    • Candidates who receive financial support from another European Union–funded programme for the same mobility period are not eligible to participate.
    • The partner university shall be fully responsible for verifying the formal eligibility of candidates and the accuracy of the submitted information.
  4. Preparation and Submission of Selection Documentation
    • Upon completion of the selection procedure, the partner university shall prepare:
      • a main list of selected candidates;
      • a reserve list of eligible candidates who could not be accommodated within the allocated quota.
    • The main and reserve lists shall be submitted to the Project Office (International Relations Office) in the form of an official Selection Report.
    • The maximum number of mobility participants allocated to each partner university shall be determined and published on the Project website.
    • The template of the Selection Report shall be made available on the Project website.
    • The selection results must be submitted to the Project Office no later than 21 working days prior to the planned mobility activity.
    • In the event of withdrawal by a selected participant, the vacancy may be offered to a candidate from the reserve list in accordance with the established ranking order.
    • Participation in the Project is conditional upon compliance with the Project Regulations, which define the rights and obligations of participants and the institutions involved. Adherence to these provisions is mandatory.
  5. Equal Opportunities and Inclusion
    • The selection process shall ensure equal opportunities and non-discrimination.
    • Particular consideration shall be given to candidates from disadvantaged groups, including persons with disabilities or those facing economic or social obstacles.
  6. General Provisions on Mobility
    • Duration of mobility
      • Mobility activities shall be limited to short-term mobility and may last up to five (5) days, with an additional maximum of two (2) travel days.
    • Formal requirements
      • All participants must conclude a Financial Agreement with their home institution prior to departure (in the case of outgoing mobility) or no later than the first day of their stay at Silesian University of Technology (in the case of incoming mobility).
      • A Mobility Agreement, specifying the planned programme and expected outcomes, must be duly signed by all relevant parties prior to the commencement of the mobility period.
      • All documentation specified in the Project Guidelines must be submitted to the Project Office within the prescribed deadlines, i.e. no later than the first day of stay (incoming mobility) or at least 14 calendar days prior to departure (outgoing mobility).
  7. Visibility and Communication Requirements
    • All communication, promotional and informational materials related to the Project shall comply with the applicable visibility requirements.
    • The mandatory set of logos (European Funds for Social Development, Republic of Poland, Co-financed by the European Union, and NAWA) must be used in accordance with the official branding guidelines. The approved logo banner is available on the Project website.
  8. Final Provisions
    • Compliance with programme rules
      • All activities related to the qualification process, recruitment, and implementation of mobility must comply with the current Project rules.
    • Equality and transparency
      • The qualification and recruitment process is conducted in a transparent and fair manner, in accordance with the principles of equal treatment of all candidates.
    • Final decisions
      • Any disputes or matters not regulated in these qualification rules shall be resolved by the partner university together with the Project Team.
    • Amendments to the rules
      • The Project Office reserves the right to introduce changes to the qualification rules in the event of changes to programme regulations, legal provisions, or other significant circumstances.
